Event Scheduling

CPSM is responsible for scheduling events on the Georgia Tech campus. We have a variety of large lecture halls, seminar rooms and smaller classrooms available for Institute events.

CPSM is also responsible for scheduling all exterior spaces on the GT campus (excluding Athletic Association facilities and Couch Park/Burger Bowl). Any group wishing to reserve an exterior space on campus for an event must reserve the space in advance. This includes all sidewalks, streets, open quads, courtyards and green spaces on campus.

Event Scheduling Guidelines

To reserve classrooms or outdoor space on campus for student events and special activities please complete the Reservation for Use of Campus Space Form.

Georgia Tech student groups that are recognized chartered organizations are entitled to reserve campus space for meetings, events, and other activities. These student organizations may reserve classroom space in any of the centrally scheduled classrooms controlled by the Capital Planning and Space Management Department (CPSM). In addition, chartered student organizations may schedule outdoor space on campus for various planned functions. The CPSM department is responsible for scheduling the space, but in order to ensure a successful event, will also assist with contacting other GT entities that assist in facilitating activities. These entities include GT Campus Police, Parking, Risk Management, Fire Marshall, and Facilities. CPSM will also assist in coordinating with building managers when student groups are holding special events in campus buildings.

Waiting Period for Classrooms

While chartered student groups are entitled to use classroom space for extra-curricular activities it is also the responsibility of the CPSM department to schedule classrooms for academic classes. Therefore, after the first day of classes begins, a two-week waiting period on event scheduling goes into effect. This two week waiting period is necessary in order to accommodate any changes to the academic classroom schedule. This policy will also affect department administrators who schedule classrooms for extra curricular events like help sessions, seminars, and other departmental activities. After the two week waiting period CPSM will assist student groups and departments with locating suitable classrooms for their events.

Room Equipment

The Office of Information Technology (OIT) has equipped most of the classrooms with projectors, smart podiums, and Internet access. It is the responsibility of the user to contact OIT for instruction on proper use of this equipment. The student group or department is expected to act with prudence when using this equipment. Groups may be held responsible for equipment that is damaged or stolen during their use of the classroom.

Room Use Etiquette

Many student organizations schedule classrooms after hours. "After hours" is defined as after 6:00pm and on weekends. If you are hosting a meeting, seminar, or any special event in a classroom please include cleaning the room in your event preparation. The basic rule for classroom use is, the room should be left as found. No trash of any kind should remain in the classroom, this includes inside the trash can. Classrooms must be ready for instruction the next day. Please bring a large trash bag to your event if necessary to remove all bottles, boxes and papers. Rooms are inspected by the building managers and dirty rooms are reported to CPSM. Groups can lose room use privileges if they do not take the time to clean up after an event.

Outdoor Space

Various outdoor venues are available to student organizations and departments for Georgia Tech sponsored events. Some areas that can be scheduled are campus lawns, two different parking decks, the campanile, walkways, plazas and streets. Many of these areas are scheduled for use by Capital Planning and Space Management (CPSM). Please visit the Outdoor Spaces Overview page to see the aforementioned venues for scheduling.

Please note: (as of spring 2009) at this time campus lawns are not available due to campus drought restrictions.

Outdoor Equipment

Groups that schedule outdoor space with CPSM must contact GT Customer Service/Facilities to reserve equipment. CPSM does not reserve any equipment. If the event calls for tables, chairs, platforms, trash cans, barricades, power connections please call GT Customer Service at 404 385-1000. They require at least a 3 day notice on equipment.

Flyers/Banners/Sidewalk Chalking

Flyers: Flyers may be posted on the kiosk which is located on Skiles walkway. Flyers may also be posted inside of some academic buildings on bulletin boards set-up for this purpose. Please do not post flyers on walls, windows, doors, lamp posts, trees or any place not designated for this purpose.

Banners: Groups may reserve banner space by sending an email to Beverly Peace at CPSM. Please include the dates you would like to hang the banner. This is for the Skiles stairway railing only. If you would like to inquire about banner space at the Student Center please call (404) 894-2804 for further information.

Chalking: Chalking is permitted on ground surfaces ONLY around campus. DO NOT CHALK ON any buildings, walls, stairs, fountains or other surfaces. Due to drought restrictions please use chalk sticks. DO NOT USE chalk sprays, markers or paint of any kind. Groups that use the aforementioned items will be required to remove the markings at their own expense.

Amplified Sound on Campus

Amplified sound is only permitted for outdoor use on Tuesdays and Thursdays between the hours of 11:00 AM and 12:00 PM. Special outdoor programs that serve the entire campus community or have an annual occurrence may use amplified sound outside of these parameters with special permission. Please contact Capital Planning and Space Management for more information on requesting special permission.

Campus Space Use by General Public

The Georgia Institute of Technology reserves the right to regulate the time, manner, and place of public speech on campus in accordance with the law. The free speech area for the general public, who are not GT students, faculty, administrators, or staff is located at the Small Amphitheater located near the Ferst Theater of the Arts. Other campus locations for use of free speech may be designated to accommodate larger crowds or any campus emergency. Members of the general public may request use of the Small Amphitheater by filling out the Freedom of Assembly and Expression form. The form should be filled out completely and submitted to the office of Capital Planning and Space Management for approval. A three day notice is required.
