Facility Use Priority Statement:

Policy 5.15.3.3 The use of institutional academic facilities, classrooms, seminar spaces, laboratories and auditoria for scheduled academic instructional and research purposes shall take precedence over all other uses of such spaces and will not be displaced without expressed approval of the president or his/her authorized designee.*

Classroom Scheduling Guidelines

The Space Management Department schedules 143 general-purpose classrooms.

Academic classroom requests must be entered into Banner (see below) by the department. After every department has had time to complete their semester schedule, entry of room scheduling data in Banner is restricted. After this point changes cannot be made to the schedule except by the Administrative Coordinator in Space Management. Note, however, that non-centrally scheduled classrooms are unaffected by this restriction.

In order to utilize our classrooms effectively, departments should make every effort to schedule classes throughout the day (8:00am - 5:00pm +). Classes are most heavily scheduled MWF 9-10, 10-11, 1-2, 2-3 and TTH 9:30–11 and 1:30–3. Your chances of being assigned the classroom requested are greater outside of these times. Classes should not be scheduled TTH in the hours of 11-12 as this time is used for faculty meetings.

If a conflict arises in the scheduling of a course, contact the person in your department that handles scheduling. Your department representative will work with the Administrative Coordinator in the Space Management department. The designated departmental contact person must make all change requests to Space Management.

Requests for room changes must be submitted on a Classroom Change Form available on our web page. If the change (s) cannot be made, the Administrative Coordinator will contact the department representative.

Classes scheduled at standard Georgia Tech times will be given first consideration if a room conflict should arise.

Please schedule your nonstandard time classes in your department spaces if possible.

If there are two courses requesting the same room, the course with the higher enrollment will be assigned the requested room and an alternate will be found for the other course, regardless of priorities.

The Space Management Department must be notified of any changes or cancellations of a course, as the room vacated could be needed by another class.

The Space Management Department must be notified of any changes in a classroom (replacing desks with tables, or changing the configuration, painting, or renovations).

If a department wants to turn a classroom into a lab, conference room or office, the Space Committee, the Vice-Provost for Undergraduate Studies, and the Classroom Advisory Committee must give approval. A written request should be sent giving justification for the change.

If there are problems with classrooms (air conditioning, heating, lighting, etc.), please have your department coordinator call your area manager in Facilities.

For equipment requests, the Office of Information Technology should be contacted.

Banner

The meeting time block on the Banner form WSASECT is utilized by academic departments for requesting centrally scheduled classrooms. An "R" appears next to the building and room numbers to indicate that it is a "request" rather than a confirmed room assignment. A "P" indicates that classroom scheduling is in "progress" by the Space Management office and changes are no longer permitted. "A" indicates that the scheduling process has been completed and the room is "assigned". Special note: The "Session" field on the first page of SSASECT must contain an "A" (on-campus, in assigned space) in order to receive a centrally-scheduled classroom assignment. If this field contains any other value, no classroom assignment will be made regardless of entries on the meeting time block.

Special Event Scheduling

The Space Management Department schedules special events in general purpose classrooms. In order to avoid conflicts with regularly scheduled classes, reservation requests will be processed after a semester begins. Go to the Special Events page for further details.
